This Privacy Policy applies to GoPlayHQ's websites, applications, and related services (the “Services”). In this policy, “GoPlayHQ,” “we,” “us,” and “our” refer to the operator of the Services. If you do not agree with this policy, please do not use the Services.
1. Information we collect
Information you provide
- Account and profile information, such as your name, email address, profile photo, login method, account role, company, and account preferences.
- Event, quote, and booking information, such as your phone number, event date, group size, selected venue or package, event type, messages, special requests, and optional honoree details supplied by an adult event planner.
- Planning and collaboration information, including venue collections, shortlists, votes, reviews, survey responses, team or company membership, and content you choose to share.
- Venue-operator information, including business contact details, listing content, ownership or management claims, and information submitted through our venue tools or report forms.
- Communications, including requests, feedback, and messages you send to us.
Information collected automatically
When you use the Services, we and our service providers may collect device and usage information such as IP address, browser and device type, operating system, referring and exit pages, pages viewed, searches, clicks, scroll activity, approximate location inferred from an IP address, timestamps, and diagnostic or error data. For certain outbound-link and phone-click records, we store a one-way hash of an IP address rather than the raw address.
We also record campaign and referral information, including UTM parameters, referring domains, landing pages, and Google Ads click identifiers when present. Some of this information is stored in your browser so that an event inquiry can be attributed to the source that introduced you to GoPlayHQ.
For some advertising visits, Google Ads may replace a venue's phone number with a forwarding number that routes to the same venue. This lets Google report call metadata such as whether the call connected, its time and duration, and the campaign that produced it.
Information from other sources
We may receive account information from Google when you choose Google Sign-In; venue and business information from venue operators, public websites, directories, and data providers such as Google Maps or Places; and information from collaborators when they invite you to or interact with a shared list or survey.
2. How we use information
We use information to:
- provide, personalize, maintain, and secure the Services;
- create and manage accounts and authenticate users;
- help people discover, compare, shortlist, and contact venues;
- process quote requests, booking requests, reviews, surveys, and collaboration features;
- communicate with users, venue operators, and organizations about requests, service activity, support, and relevant offerings;
- measure site performance, campaign effectiveness, and product usage;
- detect misuse, investigate errors, enforce our terms, and protect users, venues, GoPlayHQ, and others; and
- comply with law and establish or defend legal claims.
3. How we disclose information
We may disclose information to:
- Venues and event-service providers when you ask for a quote, submit a booking request, contact a venue, or otherwise ask us to connect you. The recipient's own privacy practices apply after it receives your information.
- People and organizations you collaborate with when you share a collection, shortlist, survey, review, or other content.
- Service providers that support hosting, authentication, cloud storage, databases, maps, analytics, advertising measurement, error monitoring, communications, and internal notifications. These currently include Google and Firebase, Google Analytics and Google Ads, Sentry, Cloudflare, and Slack.
- Authorities or other parties when reasonably necessary to comply with law, protect safety or rights, prevent fraud or abuse, or respond to lawful process.
- A successor or transaction participant in connection with a financing, merger, acquisition, reorganization, sale of assets, or similar business transaction, subject to appropriate protections.
We do not sell personal information for money. Some privacy laws may define certain uses of analytics or advertising technologies as a “sale,” “sharing,” or targeted advertising even when no money changes hands. You may contact us to opt out where such a right applies.
5. Retention and security
We retain information for as long as reasonably necessary to provide the Services, maintain business and transaction records, resolve disputes, enforce agreements, meet legal obligations, and protect the Services. Retention periods vary based on the type of information and why it was collected. We may retain deidentified or aggregated information where it can no longer reasonably identify you.
We use administrative, technical, and organizational safeguards designed to protect information. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.
6. Your choices and privacy rights
Depending on where you live and subject to legal exceptions, you may have rights to know whether we process your personal information; access, correct, or delete it; obtain a portable copy; or opt out of targeted advertising, sale, or certain profiling. You may also appeal a decision we make about a privacy request.
To make a request or appeal, email [email protected] with the subject “Privacy Request.” Tell us the right you wish to exercise and the email address associated with your account. We may need to verify your identity and authority before completing a request. Authorized agents may submit requests where permitted by law. We will not discriminate against you for exercising an applicable privacy right.
You can update certain profile information in your account. You may stop promotional email using the unsubscribe method in the message or by contacting us. We may still send non-promotional service messages.
7. Children's privacy
The Services are designed for adults planning events and for business users; they are not directed to children under 13. Children under 13 may not create an account or provide personal information directly to us. An adult organizer may optionally provide limited information about an event honoree, such as a first name and age, when planning an event. If you believe a child under 13 has provided personal information directly to us, contact [email protected] so we can investigate and delete it as appropriate.
8. External sites and services
Venue pages may link to websites, booking systems, telephone numbers, maps, or services operated by third parties. Their privacy policies, not this policy, govern their collection and use of information. Review those policies before providing personal information.
9. Changes and contact
We may update this policy as the Services or legal requirements change. We will post the updated policy here and change the effective date. If a change is material, we may provide additional notice where appropriate.
